What is your refund policy?

  • Full Refund Deadline – May 1, 2024
  • Half Refund Deadline – July 1, 2024
  • All Swag and Advertisement purchases are non-refundable
  • Refunds will only be issued to the credit card used to purchase.

Are you missing your refund?

There is often some processing time before a refund is posted.

If you haven’t received a refund after a few business days, first check your bank account again.

Then contact your credit card company, it may take some time before your refund is officially posted.

If you’ve done all of this and you still have not received your refund yet, please contact us.

Is there a student or reduced rate for registration?

At the moment there are no reduced rates for registration as we are organizing on the basis of cost-recovery. However, we are looking into sponsorship and other funding possibilities to support the attendance of student and community delegates.

 

For students who are going to register for the conference, we highly recommend that they select “student” as their registration type so that we can inform them of any sponsorship developments or funding opportunities.

 

For community members or others interested in any forthcoming funding opportunities please contact us and we will add you to an interest list.

 

Is there a reduced rate for presenters?

We do not have a rate specific for presenter registration, but are instead offering Early Bird Registration for all registrants until April 1, 2024.

 

Can I register a group?

Group registration can be completed up to 10 people and it is fairly straight forward in the portal, but you can certainly reach us if you have any problems or other needs. To add group members select the “Add Group Member” widget on the Registration Summary page and input their details, then repeat this action until you have added your full group.  You will primarily need their names and email address but there is also a host of additional questions which are mandatory but primarily used for accounting on our end (such as the amount of parking to reserve or dietary concerns). You can find all of the required personal information at the beginning of registration.

 

How can I volunteer at the conference and is there a reduced volunteer rate?

Volunteers will not pay a registration fee for the conference. Additionally, they can volunteer to attend the separately ticketed events, such as the conference dinner or cultural pre-conference, or choose to pay for these events. 

 

If you are interested in volunteering the best way to get involved at the moment is to send us an  email at stenistolw@camosun.bc.ca. You will then be added to the list of interested volunteers to follow-up with. We will be creating a volunteer registration path through our website stenistolw.ca that will become available early this Spring.  

 

Can I submit a proposal for a session at the conference?

The deadline for proposals has now passed and we are beginning to schedule the conference sessions. However, if you still want to be considered please send us details about your proposal including an abstract and the session type (presentation, workshop, panel, or talking circle). If space in the conference becomes available we will review the post-deadline proposals and may contact you for more information.

 

Our Commitment to Privacy

Camosun College is subject to the  Freedom of Information and Protection of Privacy Act and is committed to protecting the privacy of both our students and our employees. It is Camosun College’s goal to not only meet the requirements of this Act but to exceed the requirements by implementing “best practices” with respect to the collection, use and disclosure of personal information. 

 

Camosun College collects personal information for a variety of purposes. For example, at time of student registration and/or to address special needs of a student, or Human Resources collecting personal information at time of hire from an employee. Only that information which relates directly to and is necessary for the operation of our programs is collected. We do not collect personal information unlawfully or unfairly. In most circumstances, we only collect personal information directly from the relevant individual. Indirect collection occurs only in very limited and specific circumstances, or as required by law.

 

Collected personal information will only be used by authorized Camosun College staff and faculty, to fulfill the purpose for which it was originally collected, for specific purposes if directed by the individual from whom the personal information is being collected, or for a use consistent with the original purpose. 

 

Camosun College and our service providers treat personal information in our custody and/or control with a high degree of confidentiality and only disclose it for the purposes of the program for which it was collected, or as required by law, or in specific circumstances, with consent of the relevant individual. Camosun College will not disclose personal information outside of Canada without explicit consent unless permitted to do so by law. 

 

Camosun College also requires our third party service providers to demonstrate full compliance with our privacy obligations, principles and processes outlined in our policy. 

 

Camosun College does not sell, share or disclose your information to others for any type of mailing list.

 

Camosun College administers security standards to ensure that the personal information that is in our custody and/or control is secured at all times. Security measures include but are not limited to: secure facilities, locked filing cabinets, limited user access, use of passwords, firewalls and encryption software.
